SERIALS BINDING POLICY

General Binding Guidelines (exceptions made on a case-by-case basis):
·        Do not bind duplicate copies.
·        Do not bind titles with limited print retention.
·        Bind volumes incomplete if the title is available in other formats (e.g. electronic or microform).
·        Bind volumes incomplete at point of binding pickup when three months have elapsed since missing issue was claimed and/or received issue can’t be located.
·        Bind Bd3 code volumes incomplete if claim/order efforts fail after six months.
·        Reduce or eliminate rebinds if missing issue arrives months/years after a volume has been bound. Either toss the issue or bind separately.
·        Bind all title changes as separate entities (i.e. in separate physical volumes).
·        Rebind previously bound materials only if the spine information does not match the content.
·        Errors found by staff should be returned to the binding unit within 14 days if possible. (Bindery has a thirty day return policy on errors)
·        Bind volumes with spine information which matches Voyager check-in information (ex: v.49:no.1-4, 2004). Year will always be used last.
·        When binding indexes or supplements, the word index or suppl. will only be used if bound separate from volume or on cumulative index.
 
Gift Binding Guidelines (exceptions made on a case-by-case basis):
·        Gift issues will not be bound within an existing bound volume. They will be bound separately.
 
Rationale:
·        This policy supports Strategic Plan Goal 1.3.2. “We will assess acquisitions/collections services to reallocate resources strategically and eliminate services that are no longer needed”.
·        Complete print runs of serials do not always need to be maintained for all titles due to electronic serial content access and document delivery.
·        Staff time can be reallocated in ways that will significantly enhance patron access to electronic resources.
·        Patrons will have much quicker access to more print content as issues won’t sit on the ‘claim/order’ shelve for 1-3 years waiting for a missing issue to complete a bound volume.
