Creating a Folder
Before we create a rule, we are going to create a folder to forward the GroupWise items to. Right click on the Cabinet and choose New Folder.
The Create Personal Folder box appears. Choose Personal folder and click Next.
Type in a name for the folder an click Next and on next screen click the Finish button.
Now that the folder is created, let's create a rule.
Creating a Rule
From the Toolbar in Groupwise, choose Rules, then Tools. Click the New button to create a new rule. Name the rule a word that describes its function. This is for your benefit, to recall later why the rule was created.
Under "When Even is" leave the default "New Item". Click in the box after "When items are:" and before "Received".
Click on the Define Conditions button to set the perimeters. There are a variety of ways to define the conditions depending on your need. Some rules may be created to move items with a certain keyword to a folder, some to reply or forward messages, others to delete items from your mailbox that contain certain words such as "mortgage rates", or others such as our demonstration, to move items addressed to a KSUL-Group to a folder. For this demonstration, our mission is to move items that are addressed to KSUL-ADAPT to a previously created folder named "ADAPT". See image below.
At the bottom of the New Rule box, under "Then actions are" click the Add Action button and choose "Move to Folder". Locate the folder and put a check mark in the box beside the folder. Again, you may need to click on the plus sign + to expand the folders. Click the Move button, then click the Save button.
The new rule displays in the Rule box. The checkmark in the box next to the rule activates the rule. To deactivate the rule, just click inside the box to remove the check mark. Close the Rule box.
In this demonstration, items sent to KSUL-ADAPT will be forwarded to my ADAPT folder. As you set up rules, be careful to check the folders where the mail is forwarded remember..."out of sight out of mind".
